Purpose

Coordinare CTMS helps clinical research teams coordinate studies, subjects, visits, documents, tasks, billing, monitoring, and related site operations. The product is designed for operational study data and opaque subject identifiers, not patient identifying information.

Information We Process

We may process account details, workspace membership, study and site records, subject identifiers, visit and billing records, task and organizer content, uploaded files, audit metadata, and support communications that users choose to enter.

No PHI Intended

Do not upload or enter patient names, dates of birth, medical record numbers, addresses, phone numbers, full-face photos, or other patient-identifying information. Use sponsor-assigned or site-assigned opaque subject IDs only. Unless separately agreed in writing, Coordinare CTMS is not intended to receive protected health information and is not a clinical system of record.

Storage and Vendors

Application data is stored in Supabase and hosted on Vercel. Email delivery, monitoring, and related operational services may be used to run the product. Access is limited to authorized workspace users and service providers needed to operate the service.

Retention and Deletion

Workspace data is retained while the workspace is active or as needed to provide the service, resolve disputes, comply with legal obligations, and maintain backups. To request deletion or export of workspace data, contact the Coordinare team from the account that owns or administers the workspace.

Security

Coordinare CTMS uses authenticated access, workspace-scoped database policies, private storage, encryption for organizer private secrets, and operational logging. No internet service can guarantee absolute security, so users should keep accounts protected and avoid entering data that does not belong in the system.
